Beta Program Data Handling Addendum
Repport Beta Program – Data Handling Addendum
Effective Date: December 22, 2025
Introduction
This Addendum applies exclusively to participants in the Repport closed beta testing program. It supplements and clarifies how your data is handled during the beta phase only.
By checking the consent box in the beta signup form, you acknowledge that you have read, understood, and agree to the terms outlined below, in addition to the Repport Privacy Policy and Terms of Use.
1. Temporary Data Storage During Beta Testing
1.1 What Data We Store
During the beta testing phase, Repport will retain copies of:
- Original workout plan files – the raw files you upload to the app (PDFs, images, spreadsheets, text documents, or any other format)
- Parsed output data – the structured workout data produced by our AI parsing service (e.g., weeks, days, exercises, sets, reps, notes)
Both the input and output are stored securely in cloud storage (Firebase Storage) accessible only to the Repport developer.
1.2 Purpose of Storage
These copies are retained exclusively for the following purpose:
- Analyzing the accuracy and quality of the AI parsing algorithm
- Identifying parsing errors and edge cases
- Refining and improving the parsing service based on real-world usage patterns
- Ensuring the app meets quality standards before public release
We will NOT use this data for:
- Marketing or promotional purposes
- Training generalized AI models or machine learning systems
- Sharing with third parties or external partners
- Any purpose other than improving the app’s parsing functionality
2. Data Retention Period
2.1 Beta Phase Duration
Your uploaded files and parsed outputs will be retained only during the active beta testing phase. This period will last from your signup until Repport transitions to general public release (estimated timing will be communicated to beta participants as the launch approaches).
2.2 Post-Beta Deletion
Upon conclusion of the beta testing phase, the Repport developer will:
- Permanently delete all stored copies of your original files and parsed output
- Permanently delete any backups or logs associated with your data
- Provide notification to beta participants confirming that the data deletion has been completed
All deletion will occur within 30 days of the official end of the beta phase.
2.3 Manual Deletion Upon Request
You may request immediate deletion of your data at any time during the beta phase by contacting:
Email: hello@getrepport.app
Upon receiving your deletion request, the Repport developer will delete your files within 7 business days and confirm the deletion via email.
3. Data Security
3.1 Access Controls
- Single accessor only – Only the Repport developer (Michal Surynt) has access to stored data
- Authentication – Firebase account is secured with two-factor authentication (2FA)
- Storage isolation – Firebase Storage is configured with strict security rules to prevent unauthorized access
- No automated access – Data is accessed manually for analysis purposes only; no automated systems or scripts access this data
3.2 Encryption
- All data in transit uses HTTPS/TLS encryption
- Data at rest in Firebase Storage is encrypted by Google Cloud’s default encryption
3.3 No Third-Party Access
Firebase (Google Cloud) provides infrastructure and backup services but does not have access to your data content. No third party has access to stored files without your explicit consent.
4. Your Rights and Choices
4.1 Withdrawal from Beta
You may withdraw from the beta testing program at any time by:
- Notifying the Repport developer at hello@getrepport.app, or
- Uninstalling the app from your device
Upon withdrawal, you can request immediate deletion of your data (see Section 2.3).
Note: Uninstalling the app does NOT automatically trigger deletion of stored copies on our servers. You must explicitly request deletion or wait for the automatic post-beta deletion.
4.2 Limited Use of Features
If you prefer not to have your files retained for analysis, you have the following options:
- Use the app for workout logging only (without uploading plans for AI parsing) – no copies of raw input/output will be stored
- Withdraw from beta entirely
The choice is yours. All core app features work without participating in the data analysis component.
4.3 Right to Object
You may object to the retention of your data by contacting hello@getrepport.app at any time. Upon valid objection, we will delete your data within 7 business days and, if you wish, remove you from the beta program.
5. Legal Basis
5.1 GDPR and Data Protection Compliance
Under the EU General Data Protection Regulation (GDPR) and similar data protection laws:
- Legal basis for processing: Your explicit consent, as evidenced by checking the beta program consent box
- Data controller: Michal Surynt (hello@getrepport.app)
- Processing category: Product quality improvement and service optimization
This temporary processing is a necessary and proportionate part of developing a high-quality product. The data retention is limited in duration (beta phase only) and scope (parsing accuracy analysis only).
5.2 California Consumer Privacy Act (CCPA) and Similar Laws
If you are a California resident or subject to similar state privacy laws, your rights include:
- Right to know what personal information is collected and how it is used (provided above)
- Right to delete personal information (available upon request; automatic post-beta)
- Right to opt-out (equivalent to withdrawal from beta)
- Right not to be discriminated against for exercising your rights
Exercise these rights by contacting hello@getrepport.app.
6. Frequently Asked Questions
Q: Will my data be used to train AI models?
A: No. Your data will not be used to train or fine-tune generalized AI models. It is used solely to analyze and improve Repport’s parsing algorithm in-house.
Q: What happens if I delete the app?
A: Deleting the app from your device removes it from your phone but does not delete the copies we store in Firebase Storage. You must explicitly request deletion or the data will be deleted automatically at the end of the beta phase.
Q: Can I see what data you’ve collected about me?
A: Yes. Contact hello@getrepport.app with a request to access your data, and we will provide details about which files and parsed outputs are stored under your email address.
Q: Will my data be sold or shared?
A: No. Your data will never be sold, shared with third parties, or used for any purpose other than improving the Repport app.
Q: How will I know when the beta ends and my data is deleted?
A: We will notify all beta participants via email (the address you used to sign up) when the beta testing phase concludes and when your data has been deleted.
7. Changes to This Addendum
We may update this Addendum if our beta testing practices change. Any material changes will be communicated to beta participants via email with reasonable advance notice.
